The sample form templates included with InfoPath are generic out-of-the-box templates that are browser-enabled form templates This means that they can be used in both the InfoPath client application and in a browser as long as the server you are using has InfoPath Forms Services installed (We ll talk more about InfoPath Forms Services in s 14 and 17) Many of the sample form templates (Expense Report, Status Report, and Travel Request) include a Rich Text Box control that allows linked images Linked images require domain-level security Therefore, by default, these form templates cannot be published to a list of e-mail recipients Normally, the easy way to fix this would be to remove support for linked images in the Rich Text Box control in the form templates However, since these are browser-enabled form templates, you cannot change this option (Rich Text Box controls in Web-enabled form templates always support linked images) To enable these form templates to be published to a list of e-mail recipients, enable e-mail submit on the form template you are interested in and publish it to a network location or SharePoint document library Then, users can open the form, fill it out as normal, and then submit it through e-mail

Next, in Outlook, you create a rule and an InfoPath form folder (as we explained earlier) to handle the incoming expense reports You also group the InfoPath form folder by department so you can easily see the expense reports for each department Figure 1339 shows the Expense Reports folder after you ve received a few expense reports

Now that you have expense report data, you decide that you want to do some reporting with the data You know that in InfoPath you can merge forms in order to make an aggregate report So, you wonder if you can do the same inside of Outlook 2007 The answer is yes, you can To merge multiple forms from within Outlook 2007, simply select all the e-mail items you want to merge by holding down the Ctrl key and clicking each one Then right-click on the selected e-mail items to open the context menu (Figure 1340) The context menu contains a menu item called InfoPath actions that contains a list of actions you can perform on InfoPath forms Export Forms to Excel, Merge Forms, and Export Forms (You can also access these options from the Actions menu in Outlook)

To create your aggregate report, click the Merge Forms menu item This will open the InfoPath application and merge all the forms Once you have the aggregate report open in InfoPath, you can export the form to Excel as usual in order to perform data analysis However, you may want to export these forms to Excel without having to open them in InfoPath To do that, just choose the Export Forms to Excel menu item on the InfoPath actions context menu in Outlook 2007 Choosing this option exports the forms to Excel in the same way as when you choose the All form data option in the Export to Excel Wizard in InfoPath There is a third item on the InfoPath actions menu Export Forms Choosing this menu item allows you to export the InfoPath e-mail form to an InfoPath form le that you can later open in the InfoPath application (Note that the name of the InfoPath form le that is saved is based on the subject line of the InfoPath e-mail form in Outlook)

Customizing E-Mail Support for a Form Template As is the case with many other features in InfoPath, when designing a form template, you can control how forms are sent through e-mail As you have probably guessed, you can set these e-mail options through the Form Options dialog, which contains an E-Mail Attachments tab (Figure 1341) Here you can control how les are attached to a message sent from within InfoPath and whether or not InfoPath e-mail forms are enabled As you may recall, when you send an e-mail from within InfoPath, if you haven t changed the default e-mail options for the form template, users of Outlook 2007 will receive the form as an InfoPath e-mail form Those who are not using Outlook 2007 will receive both the form data (xml le) and possibly the form template (xsn le) as attachments in the e-mail message
